Setting Up Multiple Contacts in Hona with SmartAdvocate

Learn how to enable and configure contact roles so multiple people can receive updates on a case.

Step 1: Add Additional Plaintiffs in SmartAdvocate

In SmartAdvocate, open the case.

Navigate to the Plaintiffs section Then click summary.

Click Add Plaintiff.

Fill out the details:

  • Name

  • Gender

  • Phone number

  • Checkbox for Main Plaintiff:

    • Leave unchecked if this is not the primary contact (this ensures they don't override the main contact in Hona).

Click Save.


Step 2: Create Matching Contact Role in Hona

In Hona, go to: Company Settings → Contact Roles

Click the Add button.

Name the role exactly as it appears in SmartAdvocate (e.g., (P)-Representative, (P)-Lead (P)-Plaintiff, etc.).

  • The CRM Name must be an exact match (case-sensitive, including parentheses).

Adjust Auto Update Settings:

  • Gray = this contact will receive automatic updates

  • Green = this contact will NOT receive automatic updates

Click Save


Step 3: Sync the Project in Hona

  1. Go to the project in Hona.

  2. Click ActionsSync Updates

  3. Once the sync is complete, you’ll see the newly added plaintiff appear under the contacts — with the role you mapped (e.g., Representative).

Or you can wait for the nightly sync to kick in.


Conclusion

By following these steps, you can correctly bring in additional plaintiffs from SmartAdvocate and manage them as separate contacts in Hona. This is useful for adding representatives, secondary plaintiffs, or other parties involved in the case.
