How to Send a Mass Message

Use this guide to learn how to use your Bulk Actions tool to notify more than one Client at a time.

Key Terms

Required to know for this article specifically:

  • Business = Business/Law Firm who invested in Hona

  • Hona (Business) Org = Hona Account owned by the Business

  • Business User = An individual account within a Hona Business Org

    • Just like there are many employees at 1 Business, there are many Users in 1 Hona Org. Which Hona features and settings are accessible to each User is determined by their User Role.

  • Client = Client of the Business

    • End-user of Hona Client and its features

  • Hona Client = Hona Client Portal interface where Clients can interact with Hona features

    • Business Users build Hona Client features in their Hona Business Org

Important to know in general:

  • "Project" is used interchangeably with "case" and "matter"

  • CMS = Case Management Software (often used interchangeably with CRM)

  • Messages = 2-way messages sent through Hona's 2-Way Messaging feature (typically sent via text)

  • Notifications = messages sent to the Client to notify them of Hona features you have configured (Project Type case updates, Forms, E-Signature requests, Review requests, etc). These are sent based on the Client's Notification Preferences.

Goal

By the end of this article, Business Users (you) will know how to create and send a Mass Message in Hona, whether to one Client or many at once, using the Projects dashboard and available configuration options for delivery, scheduling, and personalization.


Overview of Steps


1. Access Projects Dashboard

Log into app.hona.com and open your Projects dashboard to access all of your Projects in Hona.

2. (Optional) Filter Projects

If you only need to select a certain group of Clients, and not all of your Clients, you can use the "Filter" option to only display certain Projects on your dashboard. This will help you only select the Clients you intend to send your Mass Message to.

3. Select Recipients

Click the checkbox in the top left corner of your dashboard columns to select all Projects displayed on your dashboard. Or you can select each Project individually.

4. Create New Mass Message

Once you have your recipients selected, press Actions β†’ Send Mass Message

5. Configure Mass Message + Send

Fill out fields below and then Send or Schedule.

What should I put in ____ field?

  1. Use Contact's Notification Preferences

    • If toggled on, your mass message will be sent according to each individual Client's notification preferences.

    • If toggled off, you will choose manually how you would like your mass message to be sent.

  2. Delivery Method

    • Select the method you would like your message to deliver to your Client(s)

  3. Send Now or Schedule

    • Send Now to send the message immediately after hitting send

    • Schedule Time to pick a date and time that Hona should send the message

  4. Email Subject

    • If you selected a Delivery Method which involves Email, you will need to configure an Email Subject for the notification.

  5. Reply-to Email

    • If you selected a Delivery Method which involves Email, this is where you will identify one of your Business's emails as the recipient for Client replies.

    • The email notification will send from your Hona domain, but if your Client's hit "Reply" to that email, their response will automatically configure to deliver to the email chosen here instead of your Hona domain.

  6. Message

    • Type out the message you want to send. You can use these helpful tools when doing to:

      1. Pipe Text

        • Pers

      2. Message Templates

      3. Attach File

        • Select a file from your device and attach it to send with your mass message. Make sure your file is smaller than 5 MB to ensure successful delivery.


FAQs

Where can I watch a video walkthrough of sending a mass message?

Why do I not see the option to select more than one Project on my dashboard?

Mass Messaging is a part of our "Bulk Actions" tool, which is only part of our Elite packages or higher. If you do not see this option available in your Hona Org, it is likely because you are on our Pro package or below.

I need to schedule a message, but only to 1 Client, not multiple. Can I use this feature to do that?

Yes! The "Mass Messaging" feature can be used to schedule any message, even if it is only to 1 Project. You will see the "Number of Contacts Selected" at the top of the preview window when you're crafting your message.
