How to set up Project Mapping for Neos and Hona

Step 1: Verify Access and Integration in Hona

  • Ensure you have admin access to Hona and access to Neos.

  • In Hona, navigate to the "Company Settings" on the side menu and select "Integrations".

  • Confirm that the Neos integration tile is showing as connected. If not, refer to the support article HERE on how to set up the initial integration between Neos and Hona.

Step 2: Map Fields in Hona

  • Click on "Map Fields" in the Neos integration tile.

  • We will want to map to three fields:

    1. Project Type: This is typically mapped to Case Type Code within Neos

    2. Phase Name: Typically mapped to Class Code in Neos.

    3. Hona Enabled: This will be a custom field that will be created in Neos and added to each Case Type In Neos

Step 3: Configure Project Types in Hona

  • In Hona, go to "Company Settings" and "Project Types" and click on the three dots next to each project type, then click "edit."

  • Under "Mapped Project Types", add the Mapping that will correspond with project type in Neos

Step 4: Set Up Phase Mapping

  • Click into individual phases within each project type in Hona.

  • Find the section that says triggers and select the Neos triggers applicable to this project type (e.g., file setup).

  • You will need to have at least one trigger mapped for each phase you want to track in Hona. You can add multiple triggers to one Hona phase, however, a Neos phase cannot be used in more than one Hona phase within a project type.

    • NOTE: Triggers have to be spelled EXACTLY as they appear in Neos

  • Changes will automatically save

Step 5: Testing the Mapping

There are two ways to test that the mapping is correct. The first is directly in Hona using the Project ID and the second is through the Browser Extension. As long as Practice Area, Matter Stage, and Hona enabled are properly mapped, you will receive the updates through Hona.

For testing, set HONA enabled to "yes" and ensure the notification is received in HONA.

The steps below detail each method:

In Hona

  1. To test, go a case in Neos, copy the project ID from the URL.

  2. Navigate back to Hona and go to the Projects page, click on the "+" button, paste the ID, and sync from Neos.

Hona Browser Extension

  1. Open the browser extension while actively viewing a case in Neos.

  2. Click on "Sync With Hona"

  3. Once the Sync is complete, click on "Tabs" and "Details"

If the project appears correctly, your Hona phase and project type mapping are ready to use.
