Step 1: Verify Access and Integration in Hona
Ensure you have admin access to Hona and Smokeball.
In Hona, navigate to Company Settings on the side menu and select Integrations.
Confirm that the Smokeball integration tile is showing as connected. If not, refer to the support article HERE on how to set up the initial integration between Smokeball and Hona.
Step 2: Map Fields in Hona
Click on Map Fields in the Smokeball integration tile.
You will want to map two fields:
Project Type: Typically mapped to Matter Type within Smokeball
Phase Name: Typically mapped to Matter Stages in Smokeball. If Matter Stages are not available, please contact your Hona Account Representative to see what other options are available.
Due to the integration with Smokeball, all active matters will be defaulted to pull into Hona. If you do not want this, after a Matter is pulled into Hona, you can toggle off notifications for any project.
Step 3: Configure Project Types in Hona
In Hona, go to Company Settings > Project Types. Click the three dots next to each project type, then select Edit.
Under Mapped Project Types, add the mapping that corresponds with the project type in Smokeball.
Step 4: Set Up Phase Mapping
Click into individual phases within each project type in Hona.
Find the section labeled Triggers and select the Smokeball triggers applicable to that project type (e.g., file setup).
You must map at least one trigger for each phase you want to track in Hona. You can add multiple triggers to one Hona phase; however, a single Smokeball trigger cannot be reused across multiple Hona phases within the same project type.
Note: Triggers must be spelled exactly as they appear in Smokeball.
Changes will automatically save.
Step 5: Testing the Mapping
The only way to test that the mapping is correct is directly in Hona using the Project ID. **THIS WILL ONLY BE AVAILABLE ON THE WEB VERSION OF SMOKEBALL AND WILL NOT BE VISIBLE IN THE SMOKEBALL APP.** As long as Practice Area and Matter Stage are properly mapped, you will receive updates in Hona.
In Hona
Go to a matter in Smokeball and copy the Project ID from the URL. This will be the section that appears after view-matter in the URL and before the /dashboard as shown here:
Navigate to Hona > Projects page, click the + button, paste the ID, and sync from Smokeball.
If the project appears correctly, your phase and project type mapping are good to go.
