How to Integrate Your Case Management System with Hona Using Zapier

This guide will walk you through setting up an integration between your law firm's case management system and Hona using Zapier.

Before using Zapier check here to see if an integration for your Case Management System is already supported. If not, Zapier might provide a way for those familiar with Zapier to integrate their CMS with Hona.

Step 1: Login to Hona and Generate an API Key

  1. Open the Hona app and navigate to Company Settings.

  2. Go to Integrations > Hona > Connect or View Details.

  3. Generate your Hona API Key. This will be needed to establish the connection in Zapier.

Step 2: Create a Zap in Zapier

  1. Open Zapier

  2. Click Create to start a new Zap.

Step 3: Set Up the Trigger

  1. Select your case management system or another software as the Trigger. This is the system that will send data to Hona when certain conditions are met.

  2. Authenticate the connection by logging into your case management system via Zapier.

  3. Choose the specific event (e.g., new case created, updated case) that will act as the trigger for the data transfer.

Step 4: Set Up the Action to Hona

  1. In the Action step, search for Hona in Zapier.

  2. Connect your Hona account using the API Key generated in Step 1.

  3. Choose the appropriate Action in Hona, such as sending a message or updating a project.

  4. Map the values from the Trigger to Hona fields, such as Client ID, Project Name, or Phone Number.

Step 5: Test the Zap

  1. Run a test to ensure the Zap is functioning correctly. If successful, Hona will receive the data from your case management system.

  2. If everything is working as expected, you can now set up bulk imports to sync data in larger volumes.

Step 6: Automate Data Sync

Once the Zap is set up and tested, it will automatically push data to Hona whenever the specified trigger conditions are met, keeping your case management system and Hona synchronized.

Optional: Set Up Additional Zaps

You can create additional Zaps for other endpoints such as updating client information, projects, or sending automated messages. Your API key will already be saved, making it easy to add new Zaps.

Available Hona Triggers & Actions in Zapier

Triggers:

  • Form Submission

Actions:

  • Send Message: Send a message to a project or a phone number based on triggers from your case management system.

    • Fields: Message Text, Project ID, Phone Number, Author ID

  • Update Contact: Create or update a contact in Hona.

    • Fields: Client ID, First Name, Last Name, Email, Phone Number

  • Update Project: Create or update a project in Hona.

    • Fields: Project ID, Project Name, Project Type, Phase Name, Project Status, Client ID, Team, Team Member ID

  • Update Team Member: Create or update a team member on Hona.

    • Fields: Team Member ID, First Name, Last Name, Email, Profile Picture URL, Bio

This integration allows your law firm to stay connected, ensuring data is seamlessly shared between Hona and your case management system. If you encounter any issues during the setup process, reach out to Hona support for assistance.
